Migration & parallel runs

Moving payroll is done with parallel runs and reconciliation to the cent — nobody's salary is the test case.

Moving payroll off an old system, or off a spreadsheet, is where trust gets built or lost — one wrong deduction on one payslip and the whole project's credibility is gone regardless of how sound the underlying configuration is. We run new and old systems side by side for at least one full cycle, sometimes more where pay structures are complex, and reconcile every employee's gross pay, deductions, statutory withholding and net pay to the cent between the two before the old system is switched off.

That reconciliation covers the numbers BURS will eventually check too — PAYE withheld per employee needs to tie out the same way whether it's calculated on the old system or the new one, so the ITW-7 monthly figures and the eventual ITW-8 certificates aren't quietly different from what the old system would have produced. Discrepancies get investigated and resolved during the parallel run, not discovered by an employee questioning their payslip after go-live, which is the point of doing it this way.

Will the payroll system handle Botswana statutory compliance?

Yes — and that is the bar any payroll system must clear. Monthly PAYE remitted to BURS by the 15th on the ITW-7, the annual ITW-10 employer return with ITW-8 certificates to staff, itemised payslips, and five-year record retention are handled in-system. PaySpace maintains Botswana legislation as an always-current service; Sage 300 People ships the Botswana tax country with statutory updates applied by our team.

Can we switch payroll systems mid-tax-year?

Yes. The requirement is accurate year-to-date take-on balances — taxable earnings, PAYE withheld, deductions — loaded into the new system so your annual certificates still reconcile. Best practice is to cut over at a clean boundary (Botswana's tax year starts 1 July), run at least one parallel pay period, and agree in writing who files the remaining returns.
